The Registration Process

Who can I contact for registration help and information?
Please contact the UK Conference Office on +44 (0) 203 286 17 41. This office is open Monday to Friday from 10:00 to 16:00 (GMT), excluding public holidays. You can also email us at info@conferenceconsortium.org with any registration queries.

I just registered online, when will I receive my receipt and confirmation?
You should receive an email confirmation within ten minutes of registering. The confirmation will provide you with a link to your registration record and the option of printing an invoice or receipt. If you do not receive an email confirmation within ten minutes of completing your registration, please check your ‘junk’ or ‘blocked’ mail box (as sometimes our email addresses can be mistaken for spam). If you still cannot find a confirmation email, please email us at info@conferenceconsortium.org or call us at +44 (0) 203 286 17 41.

I just received an email from your office saying that I am not officially registered, but I have a confirmation email.
All registrations are considered as ‘pending’ until a payment has been processed. Your registration status will be changed to ‘confirmed’ once your payment has cleared. Please note that online registration without payment does not secure your place at the conference, nor the early bird rate.

I have forgotten my registration details (password and/or user name), how do I get back into my records?
Go to the online registration page and click on the links named ‘Forgotten your password?’ and ‘Forgotten your user name?’. You will be asked to provide the email address that you used when registering, and you will then receive an email containing a new user name or password within a few minutes. If you experience any further difficulties, please email info@conferenceconsortium.org.

I need to make changes to my registration, how can I do this?
Go to the online registration page and enter your user name and password. This will take you to your registration profile. If you wish to change your email address, correct misspellings, change login information etc, please click on ‘Edit User Account Details’ and enter the new data where necessary. Similarly, if you wish to make changes to the dietary or medical requirements or add a remark, please click on ‘Edit Your Participant Registration Details’. For cancellations or any necessary changes concerning payments, please email info@conferenceconsortium.org.

Can I bring my partner or friend?
Only those registered and accredited as delegates can be admitted to the conference venue. There are no facilities or activities organised to cater for partners or children within the venue.

Can I register for just one day of the conference?
There are no day registrations. However, one delegate badge can be used to grant access to the event by different people on different days if needed.

Payments

How can I pay for the conference?
There are two main methods of payment for the conference fees:
Bank Transfer: If you select this method, the invoice forwarded by email will contain all necessary information to proceed with a bank transfer including IBAN, swift code and other bank account details. Please ensure that all bank charges are accounted for in the payment amount that you send.
  • Credit Card: Once you select this method of payment, a secure online payment service will be visible in your registration profile. The following cards are accepted: VISA & MasterCard.

Is it safe to register online using my credit card?
Payments via credit cards are processed by us using a secure online payment system. We have used this system for the past three IHRA conferences, and it has proven to be efficient and secure.

Group Bookings

Do you offer a group discount for the registration?
Yes. More details are available here

I would like to register a group of people, how can I do this?

I would like to book and pay for places now, but confirm names later – is this possible?
Yes, this is possible. We are currently working on improving the registration system in order to make the process quicker and more convenient. Until this is completed, please register your group following the steps outlined above. Once you know the names of the delegates, please email them to joanna@conferenceconsortium.org alongside their conference ID numbers.

Other Questions

Does the conference provide any professional accreditation?
Yes, Harm Reduction 2010 will see the launch of an internationally recognised and accredited course in harm reduction. This course will be delivered by Liverpool John Moores University in association with IHRA and partners. More information will be available soon. Until then, potential students or sponsors are kindly asked to email HRacademy@ljmu.ac.uk.

Does the conference venue have access for the disabled?
The BT Convention Centre is fully accessible for all customers, with easily accessible drop-off points, accessible toilets, lifts and entrances in all areas. Visitors driving to the BT Convention Centre will find accessible parking available in the adjacent car park, although it is not free for Blue Badge holders. A number of spaces are available for ease of use and visitors may also be dropped off at the drop off point on the river side of the building. Lifts in the car park feature a mirror to aid reversing out of the lift and have both visual and audible floor indicators. The route from the car park to the entrance is accessible for wheelchair users, although assistance may be needed as the route does include some ramps.

Once inside the building, the reception desk and Visitor Services area both feature a fixed loop hearing system. There are 12 designated spaces for wheelchair users in the auditorium at the BT Convention Centre. An induction loop is available in specific seating areas, and a seating area is also available within the accessible bay for blind patrons who need to bring a guide dog. If you have any questions about special seating requirements please contact the BT Convention Centre Team on +44 (0)151 703 7272.

The BT Convention Centre’s Heathcotes cafe is also fully accessible for all guests. Table service is available and there is ample room for wheelchair users to manoeuvre. None of the tables or chairs are permanently fixed and none of the chairs have armrests. Our menus are clearly written and presented in contrasting colours and food is prepared to order, so we are more than happy to cater for your specific dietary requirements. There are also eight accessible toilets within the BT Convention Centre, and toilets are available on every floor of the building. Motorised scooters are allowed in public parts of the venue. Visitors can also charge scooters or wheelchairs at the venue, and guide dogs are welcome as well.

Can I bring my child to the conference?
Unfortunately there are no facilities in the conference venue for children, with only registered and accredited delegates being allowed access to the venue.

Will there be wireless Internet access available at the conference?
‘Wifi’ is available for delegates to purchase at the conference venue. In addition, there will be a free Internet Café within the exhibition area, for delegates wishing to check their emails etc.

What languages will be used at the conference?
The official language of the conference is English. However, we aim to have up to 50% of sessions translated into Russian and French (subject to funding and confirmation).
