In addition to the conference programme, the IHRA conferences have also become a place for various organisations and networks to hold additional or ‘satellite’ meetings. These meetings have become a major component of the annual conferences, and they offer a great opportunity for groups to take advantage of the number of delegates who attend the conference and discuss specific issues in detail.
At Harm Reduction 2008 in Barcelona, there were satellites organised by the International Network of People who Use Drugs (INPUD), the International Drug Policy Consortium (IDPC), Schering-Plough, and the UN Regional Task Force on Injecting Drug Use (among others). These meetings were all well attended and well received, and we expect the demand for inclusion next year to be equally as high.
For 2009, we have secured the use of five rooms in the conference venue on Sunday 19th April – 08:30 to 15:30. Each room has a capacity of 200 people, with facilities for translation available if required. The high-profile Opening Session of the conference will then take place immediately afterwards on Sunday 19th, and any non-delegates attending a satellite meeting will be welcome to attend this as well.
The charge for each on-site satellite room will be GB£ 3,000. This amount includes:
• Full audio-visual set-up and support (including a sound system, laptop and beamer/projector, plus two volunteers on hand to assist)
• Coffee breaks and lunch for up to 100 attendees (the organiser of each satellite will be provided with vouchers for distribution to attendees; larger numbers may be catered for at an additional cost and with adequate prior notice)
• Advertising of the satellite meeting on the conference website, newsletters and conference programme
Facilities for simultaneous translation may be arranged at an additional cost. Please let us know as soon as possible if you think you might require this additional service.
In order to make the necessary arrangements for satellite meetings and to promote them effectively, bookings and payments must be processed before Friday 28th November 2008. Satellite organisers will then be asked to confirm the approximate numbers of attendees by Friday 27th March 2009.
